Summary report

 

A summary report shows grouped data in a report; for example, when you have two transactions, that have the same project and tax rates, these transactions will be summarized and shown as one transaction in the report.

The report shows the necessary amount of data in an order the user needs it. User can later download this report as a CSV file.

In order to get a summary report, you don’t need the access to all ERPLY Books functions (you don’t need to have the big package), you can still get the report if you only use some of the features.

Summary transaction – a summary transaction is an assembly of transactions organized by their dimensions in a certain period of time, considering that there are different dimension groups in a summary transaction. Dimensions are – tax rates, projects, accounts. It means, for example, that when an invoice has three transaction rows there will be three summary transaction rows. When another invoice has the same tax-rate, projects and accounts, then the data will be aggregated in the summary report. Therefore, it will show the smallest group of dimensions.

 

You can add the following fields to a summary report:

  • Project groups;
  • VAT;
  • Customer data (name, code (transaction partner code will be taken from the customer code cell), register code);
  • Account (number, name).

Type “Summary report form” into the dashboard searchbox.

Fuctions for the columns:

  • Name – choose the name that you want to see in Excel;
  • 2. column – project group (if needed);
  • Type – use this when there is no project group;
  • Alignment – alignment in Excel that shows in which column this company’s data will be.

NB! In summary report you can exclude header with this global: GLOBAL_EXCLUDE_SUMMARY_REPORT_HEADER. Type “Global Parameters” into the search box, add a new row and add this global.

You can add fixed value for column in the report. Type should be FIXED_VALUE and AltValue2 should be the fixed value. For example currency column is always EUR.

You can download a CSV file, where you can see the parameters that have been chosen in the dimensions. You can see the data in a chosen time period, and you will see the dimensions in different rows according to every organisation.

Project’s ID description in the downloaded file

In order to set the ID description, go to “Settings” > “Initial data” > “Projects” > column “Description/ID”.
