What to Do If Data Fails to Synchronise?

 

This guide is intended for ERPLY and ERPLY Books users who have found that certain data has not been synchronised. It helps the user identify problems and shows ways to solve them. If the problem is one that the user cannot solve themselves, please contact customer support at support@erplybooks.com.

The following describes what to check if you have discovered that an invoice or invoices have not been synchronised from the ERPLY Inventory system to ERPLY Books:

1. Have the invoices been synchronised?

  • Check when the last synchronisation took place and synchronise the data if necessary.

2. The desired data still did not come through during synchronisation

  • Check your email to see whether you have received a message saying that the synchronisation failed.
  • If you cannot find the email in your inbox, check the report generator to see whether such a message was sent out by the software. The guide can be found here.

3. The invoice status in ERPLY Inventory is “not confirmed”

  • Open the ERPLY POS and Inventory system, find the invoice in question, and check that its status is confirmed. If it is not confirmed, change it accordingly.
  • Synchronise the data.

4. The document type in question is not synchronised to ERPLY Books

  • The ERPLY Books setup guide describes which document types are synchronised. The guide can be found here.
  • Synchronisation of the document type may have been disabled on the ERPLY Inventory side. You can check this by opening “Other Options” under the ERPLY Inventory settings.

5. You manually selected a synchronisation date, e.g. a date that was too late, so some days were left unsynchronised

  • Synchronise the data again as of the relevant date (the dates that are missing).

6. Make sure you have not deleted already synchronised data from ERPLY Books

  • If you have synchronised the data and then accidentally deleted it, the result is a discrepancy between ERPLY Books and ERPLY Inventory.
  • Make sure you synchronised the desired date range — if data originating from ERPLY Inventory has been deleted in ERPLY Books, the system will overwrite the data when synchronising.

7. Other situations

  • Synchronise the period from which the data is missing. If the data still does not come through, notify ERPLY Books customer support at support@erplybooks.com.
