Initial Synchronization

The first synchronization must always be performed manually.

Prerequisites

Before starting the synchronization, make sure the following settings have been configured:

  • Inventory article – “Settings” > “ERPLY POS & Inventory Settings” > “Choose article for warehouse-related invoices”
  • Service article – “Settings” > “ERPLY POS & Inventory Settings” > ”Choose article for service invoices”
  • Export VAT Rate – “Settings” > “Tax Rates”
  • Default VAT Rate – “Settings” > “Tax Rates”
  • Access to the ERPLY API – This must be enabled in the ERPLY Inventory user’s permissions.

If you have been using ERPLY Inventory for some time, it is recommended to lock the accounting period before performing the initial synchronization. This prevents historical transactions from being synchronized together with your existing accounting data. To lock the period, go to: “Settings” > “Configuration” > “Period Locked to” and specify the desired lock date.

If your organization has a large amount of data (for example, thousands of invoices), the initial synchronization may take more than an hour. In this case, open the synchronization module and perform the synchronization in three separate steps:

Synchronize only:

  1. Synchronize Sales Invoices and wait at least one hour.
  2. Synchronize Purchase Invoices and wait at least one hour.
  3. Synchronize Payments.
