You can do this under <\/span><b>\u201cSettings\u201c -&gt; \u201cConfiguration\u201d -&gt; \u201cPeriod Locked to\u201d.<\/b> \u00a0 \u00a0<\/p>\n<h2><span style=\"font-weight: 400;\">Changes in the earlier period<\/span><\/h2>\n<p>\u00a0 <span style=\"font-weight: 400;\">Now we are going to see how to maintain your opening balances in case you have to make some changes to the period before setting up the opening balances. <\/span><span style=\"font-weight: 400;\">For example you want to add another purchase invoice with a date before the opening balances but you need to make sure that the opening balances don\u2019t change together with the changes you make.<\/span> <span style=\"font-weight: 400;\">First, save your existing opening balances as an Excel file. Please note that you need to get the bookkeeping accounts in the right order. You can get them if you open \u2018\u2019<\/span><b>Reports\u201d -&gt; \u201cAccount Balances\u2019\u2019<\/b><span style=\"font-weight: 400;\">. Remember, if you get them from Account Balances you also have the summaries (Total row) here. Just take the correct balance date and click on <\/span><b>\u2018\u2019Search\u2019\u2019<\/b><span style=\"font-weight: 400;\">. Now Books will show your balances.\u00a0<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27314 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image4.png\" alt=\"\" width=\"640\" height=\"279\" \/> \u00a0 <span style=\"font-weight: 400;\">The easiest way to copy your account balances is to click on one row to activate it, then the CTRL + E combination (on a Mac keyboard Command+E), followed by CTRL+A in an opened window (on a Mac keyboard Command + A) and in an Excel file paste the balances with the CTRL+V (on a Mac keyboard Command+V) shortcut.\u00a0<\/span> <span style=\"font-weight: 400;\">If you have a period locked, then you have to unlock it under Configuration (<\/span><b>Settings -&gt; Configuration<\/b><span style=\"font-weight: 400;\">). See the \u2018\u2019<\/span><b>Period Lock to\u2019<\/b><span style=\"font-weight: 400;\">\u2019 option.\u00a0<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27302 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-2.png\" alt=\"\" width=\"320\" height=\"351\" \/> \u00a0 <span style=\"font-weight: 400;\">Let us now take the example where you need to add a new purchase invoice to the earlier period. Create a new purchase invoice (<\/span><b>Purchases -&gt; Purchase Invoice (Add New<\/b><span style=\"font-weight: 400;\">)). Fill in the information about the invoice and save it. <\/span><span style=\"font-weight: 400;\">As adding the purchase invoice to the earlier period changed the balances, you need to add correct opening balances again. For this, open <\/span><b>\u2018\u2019Settings -&gt; Initial Data\u2019\u2019 -&gt; Add Opening Balances\u2019\u2019<\/b><span style=\"font-weight: 400;\">. Pick the correct date for entering opening balances again and click <\/span><b>OK<\/b><span style=\"font-weight: 400;\">.\u00a0<\/span> <span style=\"font-weight: 400;\">If you want to change the opening balances in the future, you can do it in the same place as mentioned before (Add opening balances). You just have to pick a date and enter the balances. Every new input rewrites the previous balances and the system uses the most recently added\/edited balances.<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27296 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image1-1.png\" alt=\"\" width=\"282\" height=\"393\" srcset=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image1-1.png 425w, https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image1-1-215x300.png 215w\" sizes=\"auto, (max-width: 282px) 100vw, 282px\" \/> \u00a0 <span style=\"font-weight: 400;\">Now copy the balance column from the Excel file and in the Books in the Opening Balances module make the first balance column row blue (press Enter on keyboard) and paste the copied values (command + V in Mac or in Windows the operation CTRL+V).
