Only a money account can have a different currency than your company\u2019s currency.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">The<\/span><b> \u2018\u2019Period locked to\u2019\u2019<\/b><span style=\"font-weight: 400;\"> column is for locking an account if the account\u2019s locking date must be after the company\u2019s locking date. For example, if you have created all your bank account transactions, then you can lock your bank account and no transactions can be changed, added or deleted on the bank account before the locking date.<\/span><\/li>\n<li><span style=\"font-weight: 400;\">The <\/span><b>\u2018\u2019Tax\u2019\u2019<\/b><span style=\"font-weight: 400;\"> column is used for automatic conversions for the taxes.<\/span><\/li>\n<\/ul>\n<p>&nbsp;<\/p>\n<h2><span style=\"font-weight: 400;\">Creating a new account<\/span><\/h2>\n<p>\u00a0 <span style=\"font-weight: 400;\">If you want to add a new account, click on the <\/span><b>+<\/b><span style=\"font-weight: 400;\"> sign below. A window will open where you have to fill in the account information. Suppose you want to add a new expense account:<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27356 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image6.png\" alt=\"\" width=\"315\" height=\"361\" \/> \u00a0<\/p>\n<ul>\n<li><b>Account Number<\/b><span style=\"font-weight: 400;\">: enter the appropriate account number<\/span><\/li>\n<li><b>Account Name<\/b><span style=\"font-weight: 400;\">: name as you like<\/span><\/li>\n<li><b>Account Type<\/b><span style=\"font-weight: 400;\">: Expenses<\/span><\/li>\n<li><b>Balance Type<\/b><span style=\"font-weight: 400;\">: balance type is added automatically because you don\u2019t want to see this in balance sheet, instead you want to see this in the profit level in the balance sheet<\/span><\/li>\n<li><b>Income Statement Type<\/b><span style=\"font-weight: 400;\">: for example \u2018\u2019Other Operating Expenses\u2019\u2019<\/span><\/li>\n<li><b>Cash Flow Type<\/b><span style=\"font-weight: 400;\">: this is by default \u2018\u2019Net Income\u2019\u2019 but you can also change this<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">You can see a list of all available accounts when selecting an account on an invoice, for example. When you open a new purchase invoice (<\/span><b>Purchases -&gt; Purchase Invoice (Add New)<\/b><span style=\"font-weight: 400;\">) and select the item Expense account you can see that the new expense account you added is also there:\u00a0<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27326 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image1-2.png\" alt=\"\" width=\"440\" height=\"416\" \/> \u00a0 \u00a0<\/p>\n<h2><span style=\"font-weight: 400;\">System Accounts<\/span><\/h2>\n<p>\u00a0 <span style=\"font-weight: 400;\">You can find System accounts if you go to <\/span><b>Settings -&gt; Initial Data -&gt; System Accounts<\/b><span style=\"font-weight: 400;\">. System accounts are default accounts in ERPLY Books which are used for different transactions. For example Bank Account, Receivables, Requirements to Suppliers, Customer Advances, Payables, Fixed Assets and other system accounts. You can change these accounts if needed. Make sure to click on the green Save button to save any changes you wish to keep.<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27338 size-full\" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image3-1.png\" alt=\"\" width=\"473\" height=\"402\" srcset=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image3-1.png 473w, https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image3-1-300x255.png 300w\" sizes=\"auto, (max-width: 473px) 100vw, 473px\" \/> \u00a0 <span style=\"font-weight: 400;\">One of the most used accounts is the Bank Account. When you are doing a bank import, then the system will give you this Bank Account by default.\u00a0<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27350 \" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image5-2.png\" alt=\"\" width=\"609\" height=\"358\" \/> \u00a0 <span style=\"font-weight: 400;\">Another very often used account is the <strong>Account Receivables<\/strong>. This account is used by default when you create a sales invoice or receive payments for sales invoices.<\/span> <span style=\"font-weight: 400;\">The <strong>Requirements to suppliers<\/strong> account is also used often. These are the vendor prepayments, so when you add a prepayment to the supplier, it uses the Prepayments account by default.\u00a0<\/span> <span style=\"font-weight: 400;\">When you add a new fixed asset, then the <strong>Fixed Assets<\/strong> account is automatically used.<\/span> <span style=\"font-weight: 400;\">The Depreciation account is used by default for Accumulated Depreciation. This is used when you are calculating depreciation (<\/span><b>Accounting -&gt; Calculate Depreciation<\/b><span style=\"font-weight: 400;\">). You can change it for every fixed asset individually when you open Purchase and Sales Articles.<\/span> \u00a0 <img loading=\"lazy\" decoding=\"async\" class=\"alignnone wp-image-27332 size-full\" src=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-3.png\" alt=\"\" width=\"1999\" height=\"208\" srcset=\"https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-3.png 1999w, https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-3-1280x133.png 1280w, https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-3-980x102.png 980w, https:\/\/www.erplybooks.com\/wp-content\/uploads\/2022\/06\/image2-3-480x50.png 480w\" sizes=\"auto, (min-width: 0px) and (max-width: 480px) 480px, (min-width: 481px) and (max-width: 980px) 980px, (min-width: 981px) and (max-width: 1280px) 1280px, (min-width: 1281px) 1999px, 100vw\" \/> \u00a0 <span style=\"font-weight: 400;\">If the cell is empty under Purchase and Sales Articles, then the System Account \u2018<\/span><b>\u2019Accumulated Depreciation\u2019\u2019 <\/b><span style=\"font-weight: 400;\">is used.<\/span> <span style=\"font-weight: 400;\">The VAT Debt system account is used by default for the VAT Payables. You can overwrite it under the Tax Rates (<\/span><b>Settings -&gt; Tax Rates<\/b><span style=\"font-weight: 400;\">) setting but when you add a new tax rate, then the VAT Payables system account is chosen by default.<\/span> <span style=\"font-weight: 400;\">Books also often uses Primary Income accounts.
